We are looking for an Office/Program Assistant to join our Moultonborough Site team! This part-time role (20 hours/week, Monday–Thursday) is perfect for someone who enjoys working in a community-focused environment, assisting with meal service, and handling administrative tasks.

Job Title: Office/Program Assistant

Location: Ossipee Concerned Citizens - Moultonborough Site (139 Old Route 109, Moultonborough NH)

Reports To: Site Coordinator

Job Type: Part-Time (Monday to Thursday, from 8 am to 1 pm)

Hourly Rate Range: $18/hr to $20/hr, based on experience.

Benefits: Paid sick time, vacation time and holidays. HRA eligible. 

Job Summary:

The Program Assistant for the Meals on Wheels Program provides daily administrative and operational support to ensure the efficient delivery of meal services to homebound seniors and individuals with disabilities. Additionally, the Program Assistant will support the organization's congregate dining program, which offers nutritious meals and social engagement opportunities for seniors in a communal setting. This role involves maintaining records, assisting the site coordinator and kitchen staff as needed, and providing excellent customer service to program participants.

Key Responsibilities:

Administrative Support:

  • Answer phone calls, take meal reservations, and relay messages to the Site Coordinator.

  • Assist with ServTracker data entry, updating meal recipient lists, and printing daily reports.

  • Maintain accurate records, including meal service data, volunteer schedules, and donation tracking.

  • Help ensure compliance with food safety and nutrition program guidelines.

  • Communicate with clients, caregivers, and family members to address concerns and update information.

Program Assistance:

  • Assist with meal packing and preparation as needed.

  • Print and distribute daily Meals on Wheels driver route sheets and meal count reports.

  • Help set up and organize the Congregate Dining area, ensuring a clean and welcoming space.

  • Support the Site Coordinator in overseeing meal service and engaging with clients.

  • Assist with collecting and documenting meal donations at the end of service.

Volunteer & Community Engagement:

  • Help coordinate volunteer schedules and provide support to volunteers as needed.

  • Assist with training and onboarding new volunteers.

  • Foster a positive, inclusive atmosphere for clients, volunteers, and staff.

Qualifications:

  • Previous experience in office administration, customer service or social service setting is required.
  • High school diploma or equivalent required (associate's degree in computer science or social services is a plus!)
  • Experience with Microsoft Office (Word, Excel, Outlook, OneDrive) and database management.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal abilities.
  • Ability to work independently and as part of a team.
  • Friendly, professional and customer-service oriented.
  • Valid driver's license and reliable transportation preferred.
  • Ability to stand for extended periods of time and lift up to 25lbs if needed. 
  • Must be willing to undergo a background check.
